- your company name
- your email address and telephone number
- collection and delivery addresses, including site contact names and numbers
- details of the goods to be carried, including any special handling, access or timing requirements

2.2 Information we collect when we carry out work for you
In the course of providing transport and crane services we record:

- names and signatures of people who receive goods on your behalf
- photographs of loads, damage or delivery locations where these are taken as proof of delivery or condition

2.3 Information collected through our vehicles
Our vehicles carry telematics and tracking systems, and some carry cameras. These are used for safety, driver welfare, route planning, fuel efficiency, incident investigation, insurance and compliance with our operator licence and FORS accreditation.
If you or your staff are recorded on vehicle camera footage while attending a collection or delivery, that footage is personal data. We keep it only for as long as set out in section 6 and share it only as described in section 5.
2.4 Information we collect automatically from this website
When you visit our website we collect limited technical information, including your IP address, the pages you view, how long you spend on them, and the browser and device you use.
Some of this is collected using cookies and similar technologies. Our Cookie Policy explains what we set, why, and how to control it.
2.5 Recruitment information
If you apply for a job with us, we collect your CV, contact details, employment history, references and, where the role requires it, your driving licence details, Driver CPC and tachograph card information, and the results of any licence checks we are required to carry out.
2.6 Information from other sources
We may receive your information from:

- freight exchanges and load boards, including ReturnLoads.net
- credit reference and fraud prevention agencies, where we assess a new account
- publicly available sources such as Companies House and company websites
- recruitment agencies, job boards and referees
3. Why we use your information, and our lawful basis
Under UK data protection law we must have a lawful basis for using your personal information. Ours are set out below.
| What we use it for | Lawful basis |
|---|---|
| Responding to your enquiry and providing a quotation | Legitimate interests: responding to a request made to us. Where you are a sole trader, taking steps at your request before entering a contract |
| Arranging and carrying out transport and crane services | Performance of a contract, or legitimate interests where our contract is with your customer or supplier rather than you |
| Obtaining and holding proof of delivery | Legitimate interests: evidencing that we performed the job, and defending claims |
| Invoicing, taking payment and credit control | Performance of a contract, and legal obligation for tax and accounting records |
| Vehicle telematics, tracking and camera footage | Legitimate interests: safety, security, incident investigation, service quality and insurance. Legal obligation where required by our operator licence, drivers' hours and tachograph rules |
| Investigating incidents, damage and insurance claims | Legitimate interests: defending and pursuing legal claims. Legal obligation where reporting is required |
| Preventing and detecting crime, such as load theft, and providing evidence to the police | Recognised legitimate interests under Article 6(1)(ea) of the UK GDPR |
| Meeting our duties as a licensed waste carrier, including waste transfer documentation | Legal obligation |
| Keeping our website secure and working properly | Legitimate interests: protecting our systems |
| Understanding how our website is used so we can improve it | Legitimate interests, with a simple way to object. See our Cookie Policy |
| Sending marketing emails or newsletters | Consent, or legitimate interests where you are an existing customer and we are marketing similar services. You can opt out at any time |
| Recruitment and pre-employment checks | Taking steps at your request before entering a contract, legitimate interests in assessing suitability, and legal obligation for driver licensing and right to work checks |
Where we rely on legitimate interests, we have considered whether our interests are overridden by your rights. You can ask us for more detail on that assessment at any time.
Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did before you withdrew it.
We do not use your personal information to make solely automated decisions that produce legal or similarly significant effects.
4. Special category and criminal offence data
We do not routinely collect special category data (information about health, race, religion, sexual orientation, trade union membership, or biometric or genetic data).
We may collect a limited amount where it is necessary, for example:
- health information from drivers and staff, for occupational health, medical fitness to hold a vocational licence, and workplace accident records
- information about motoring offences and endorsements from driver licence checks
Where we do, we rely on the employment, social security and social protection condition, or on the substantial public interest condition for preventing or detecting unlawful acts, together with a condition in Schedule 1 of the Data Protection Act 2018.
5. Who we share your information with
We do not sell your personal information. We share it only where necessary, with:
- Our drivers and staff, who receive the collection, delivery and contact details they need to do the job
- Subcontracted hauliers and freight exchange partners, where we use another carrier to complete or assist with a job
- Your customers or suppliers, where the delivery or collection involves them
- Our IT and software providers, including our website host, email provider, transport management and telematics systems, and Cloudflare, whose Turnstile service checks that enquiry form submissions come from a person rather than a spam bot
- Our accountants, auditors and bank, for invoicing, payment and statutory accounts
- Our insurers, insurance brokers and claims handlers, where there is an incident or claim
- Our legal advisers and debt recovery agents, where we need advice or need to recover a debt
- Regulators and public authorities, including the Traffic Commissioner, DVSA, the Environment Agency, HMRC, the police and the ICO, where we are required to provide information or where it is necessary to prevent or detect crime
- Credit reference and fraud prevention agencies, where we open or assess a credit account
Where we use a supplier who processes personal information on our behalf, we put a written contract in place requiring them to keep it secure and use it only on our instructions.
If our business is sold or transferred, personal information may be transferred as part of that sale, subject to appropriate protections.
6. How long we keep your information
We keep personal information only as long as we need it.
| Information | Retention period |

| Customer account and contact records | 7 years from the end of the business relationship |

| Waste transfer notes | 2 years, under regulation 35 of the Waste (England and Wales) Regulations 2011 |

| Vehicle telematics and tracking data | Only as long as needed for the purposes in section 3, then deleted |

Where a claim, dispute, investigation or legal proceeding is live or reasonably anticipated, we keep the relevant records until it is concluded.
When we no longer need information we delete it, or destroy paper records securely.
7. Where your information is held
We are based in the United Kingdom and store information here wherever possible.
Some of our suppliers, particularly IT and email providers, may store or access information outside the UK. Where they do, we make sure an appropriate safeguard is in place, which will be one of:
- the country has UK adequacy regulations in place, meaning it is recognised as offering an equivalent level of protection
- the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses
- another safeguard permitted by UK data protection law
You can ask us for details of the safeguards that apply to a particular transfer.
8. How we keep your information safe
We take appropriate technical and organisational measures to protect personal information against loss, misuse, unauthorised access and disclosure. These include access controls, secure passwords, encrypted connections to our website, restricted access to our systems, and staff training.
No transmission over the internet is completely secure. Any information you send us online is sent at your own risk, though we will use strict procedures and security features to try to prevent unauthorised access once we hold it.
If a personal data breach occurs that is likely to result in a risk to your rights, we will report it to the ICO within 72 hours where required, and tell you directly where the risk to you is high.
9. Your rights
Under UK data protection law you have the following rights. Most are not absolute, and we will tell you if an exemption applies.
- The right to be informed about how we use your information, which this policy provides
- The right of access to a copy of the personal information we hold about you
- The right to rectification of information that is inaccurate or incomplete
- The right to erasure of your information in certain circumstances
- The right to restrict processing in certain circumstances
- The right to data portability, to receive information you gave us in a portable format, where we rely on consent or contract and process it by automated means
- The right to object to processing based on our legitimate interests, and an absolute right to object to direct marketing
- The right to withdraw consent at any time, where we rely on consent
- Rights relating to automated decision-making and profiling, though we do not carry out solely automated decision-making with legal or similarly significant effects
To exercise any of these rights, contact us using the details in section 1. We will respond within one month. If your request is complex or you have made several, we may extend that by up to two further months and will tell you if we do.
Where we need to confirm your identity, or to ask you to clarify what you are looking for, the one month runs from the point we receive what we have asked for.
We do not charge a fee, unless a request is manifestly unfounded or excessive, in which case we may charge a reasonable fee or refuse to act.
We may need to confirm your identity before we act on a request.
10. How to complain
If you are unhappy with how we have handled your personal information, please tell us first. You have a right to complain to us directly, and we would rather have the chance to put it right.
